Submission FAQ

Below you will find answers to the most frequently asked questions regarding submissions and deadlines. Here, we only answer questions that have a generally applicable answer. Depending on the event (e.g., pre-Colloquium workshops or meetings), specific requirements may differ, which is why we strongly recommend consulting the respective guidelines to avoid any surprises.
 

Before you submit

No, but you need a MyEGOS account to access the submission platform. An active (i.e., paid) EGOS membership is only required if you want to access our journals or attend EGOS events, such as the annual Colloquium.

 

Please contact the EGOS Exectuive Secretariat. They will gladly check and restore your existing EGOS account.

 

You can be the corresponding author of one submission only. In addition, you can be listed as co-author on up to two further papers. Sub-themes are discussion groups in which accepted authors are expected to participate in all sessions. Because they are built around developing participants’ papers, you will benefit most from the Colloquium by submitting to the Sub-theme you wish to attend.

 

Yes. The limit of one submission as corresponding author applies per event. The main Colloquium (Sub-theme participation) counts as one event; pre-Colloquium activities and other events count separately.

 

No. Submitting multiple times with additional accounts goes against our values and our sense of fairness among colleagues. It reduces the chances of colleagues who follow the rules and creates a significant additional burden for convenors and administration. If we detect such behavior, it may lead to exclusion from our Colloquia.

 

Yes, the following formal criteria apply to all submissions:

  • Font: Arial or Times New Roman, 12 pt
  • Margins (left/right): 2.5 cm
  • Line spacing: 1.5
  • Use the most recent APA style for your citations, text, and titles
  • Do NOT write your title in ALL CAPS; per APA style, use title case
  • Submit as a PDF file only

Submitting, deadlines & co-authors

Yes, you can edit your submission until the submission deadline. If it is accepted, you can make further changes during the full paper submission period.

 

No, deadlines are fixed, and we publish reminders regularly. Please plan ahead and submit in good time.

 

No, only submissions made through our submission platform count as successfully submitted.

 

If your submission was successful, you will receive a confirmation email. Please check your inbox first, including your spam folder. A successful submission will also appear under “My Submissions” in your MyEGOS account. If you find neither, please try submitting again.

 

If the corresponding author listed you as a co-author during submission, you should have received a confirmation email with a TAN code. Use this code to link yourself to the paper via the “My Submissions” page in your account.
If you can no longer find the email, please contact your corresponding (uploading) author, who can find the TAN code in their MyEGOS account.

 

After a successful submission, all authors receive a confirmation email with further information about their co-author status. Co-authors who do not link themselves to the submission will not receive information about the Sub-theme or the Colloquium in general, but their name will still appear in the final Colloquium program.
So no further action is needed on your side: as long as the co-author’s name is entered correctly at submission, it will appear in the program regardless of whether they create an account or link themselves to the paper.

 
After the deadline

Nothing for now. Convenors may receive many submissions and need extra time to complete their reviews. You will be notified as soon as a decision has been made.

 

When you submit, you can tick the re-route checkbox and voluntarily suggest up to two Sub-themes where you feel your submission might also fit well.
Re-routing is intended for high-quality submissions that could not be accepted in the chosen Sub-theme. Please note that it is at the sole discretion of the Local Organizing Committee and the Sub-theme convenors: there is no guarantee that your paper will be re-routed to your suggested options or accepted elsewhere. A paper can be re-routed only once.
