Due to the current COVID-19 pandemic, the entire 36th EGOS Colloquium 2020 will be held virtually!



If I wish to cancel my registration for the virtual EGOS Colloquium 2020, will I receive a refund?

There will be no refunds of the EUR 10 fee. For any registration queries, please contact egos2020@speak.co.uk.
 

Do I need to do anything prior to joining the Colloquium?

Yes. Many sessions are broadcast via Zoom, so for the best experience we recommend you download Zoom before the start of the Colloquium (if you don’t already have it).
For the best possible virtual experience, we advise you use Chrome and a desktop where possible. Make sure to test your system and ensure your computer has the latest updates.
We suggest you sign into the portal up to 30 minutes before the event start time, to give you a chance to look around before the first session starts.
 
Which browser should I use?
Use the most up to date version of Google Chrome browser.
 
Can I view the Colloquium on my phone or tablet?
Live sessions cannot be viewed on phones or tablets. For optimal experience, we suggest using a desktop computer.

Use Google Chrome browser and a desktop whenever possible.
Refresh the browser if the screen goes black.

Do I need to have a webcam and mic for the Colloquium?
Yes. You are encouraged to use your webcam and mic during the Colloquium in the relevant ‘rooms’.

  • For the Colloquium Opening and the Sub-Plenaries, we will be the hosts and your camera will be switched off and you will be muted.

  • For your sub-theme sessions, you will be able to interact with fellow participants when the convenors activate that function within your groups. Your host will talk you through how the session will run when you start your sessions, and further details will be provided in your ‘Joining Instructions’, which you will be sent one week prior to the Colloquium.

 
How do I log in on the day of the event?
You will be sent the full details for all the sessions you have selected during registration in the ‘Joining Instructions’ which will be issued one week in advance of the Colloquium.
 
Will there be an exhibition?
Yes, the EGOS Colloquium 2020 will host a vibrant virtual exhibition in a dedicated exhibitor space that will include opportunities for live interaction.

I am an exhibitor at the Colloquium, what should I do?
We will contact you personally regarding your participation.

Can I personalise my profile?
Yes, and we encourage you to do so! You can personalise your profile by clicking your profile in the top right-hand corner of the portal. If you plan on doing lots of networking, we suggest you update your profile and make it as complete as possible!
Here you can:

  • Add/replace your photo

  • Edit your biography and social details

  • Change camera and mic

  • Set time zone

  • Set privacy options

  • Change password

I am a convenor/presenter at the Colloquium, what should I do?
You will be contacted personally regarding your participation in the Colloquium. We will host tutoring sessions to introduce you to the functionality of the platform. You will receive an invite to these tutored sessions via email.

Top tip

If you enter a session and the video does not appear, please wait 10 seconds as it can take a few moments to appear on your device. If it still does not appear after this time, refresh your screen (you may need to log in again).

Can I view full screen?
Yes, and we highly recommend that you do. Please click on the expanding arrow image at the bottom right hand side of the video screen. This will automatically make your view full screen. To exit full-screen mode, simply hit the "ESC" button on your computer keyboard.

I can hear the host, but I can’t see any slides or video.
Please refresh your screen. This will require you to log back in, but will nudge the system to allow you access to all areas of the Colloquium. If your Internet connection is not fast enough, it might cause the video to be disrupted, but allow the audio to continue. Please also check to be sure no other programs or applications are running on your computer.
 
I can see the slides or video, but I can’t hear the host.

  • Check to see that your speakers are on
  • Ensure that your speakers are not muted
  • Check the volume level


Can I take notes in sessions?
Yes! In each session, there is a note box on the right-hand side. Notes save automatically (there is no save button). You can export your notes at any time by clicking the Export notes’ button at the top right-hand corner of the screen. This will export into a word document.

Can we upload material (ppt, videos) on the platform?
The platform does not allow you to upload or share any content in advance. Papers are available via the EGOS website (your MyEGOS). If you wish to share pre-recorded content, a host has to share her/his screen via the platform and make it available.

Where do I find the program of my sub-theme?
Programs for each sub-theme are compiled by the convenors. Convenors share the program with their participants via email.
 
Will the EGOS Colloquium 2020 be recorded?
The Colloquium Opening, the Sub-Plenaries and the EGOS General Assembly 2020 will be recorded.
